The Experience Surf Camp Terms and Conditions
Booking Policy
To validate your inscription and to confirm your booking, the total amount payment of the required services must be paid.
The booking will be considered as valid when the required amount has been paid via one of our payment option through our booking platform and you have received a confirmation email with the booking details.
All prices are in USD, and per person, per week, per pack unless stated otherwise. Upon making your booking, the price of your holiday will not normally be subject to change, however we reserve the right to increase or decrease prices due to variations in service charges, offers, insurance/security levels or exchange rates.
Once a booking has been made, discounts cannot be applied retrospectively.
Guests may request a date change for their booking, subject to availability.
Guests may reschedule their booking free of charge up to 7 days before their scheduled arrival date, subject to availability.
All date changes are subject to availability and must be requested in writing.
Any rebooking request made within 7 days before the scheduled arrival date will incur a penalty fee of 15% of the total booking amount or fixed fee.
If the new booking falls within a higher-priced season, the guest must cover the price difference.
Deposits remain non-refundable.
No-shows or cancellations within 7 days are subject to a 100% charge with no refund or credit.
Any bookings created 60 days or less before the arrival date is required to pay 100% of the total amount to be considered confirmed and valid.
Any bookings created 60 days or more before the arrival date is required to pay at least a deposit of 30%, to be considered as confirmed and valid.
All bookings with a valid and confirmed payment will receive an email in the next 7 days with all the general details to confirm the reservation of the surf camp package.
Any bookings who do not follow the payment process and deadlines, we reserve the right to treat the booking as a cancellation.
Cancelation and Refund Policy
The 30% of your payment is non refundable. After you pay the total of your surf camp package you can have the other 50 % refund at any time before the start day (with extra fee for bank transfer) in case of cancelation for circumstances outside of your control.
We do understand that circumstances outside of your control can prevent you from traveling - illness, work emergencies, accidents, family issues, flight cancellations etc. In these cases, we will refund the 50% payment of your surf camp , with proof of your extenuating circumstance.
We can not have our local suppliers to be at a loss when a guest needs to cancel and we don't have time to fill their spot.
We strongly recommend you purchase travel insurance to enable you to get the remaining monies reimbursed, when circumstances outside of your control prevent you from traveling and joining the surf camp.
All booking cancellations are required to be formally written and sent to office@theexperiencesurfcamp.com
The Experience Surf Camp will not refund any of the program’s activities should you miss them during the program or sustained any injuries during the program.
The Experience Surf Camp’s program schedule can change at any time and the students will be informed minimum of 1 hour before through our whatsapp group chat or by messaging your personal one.
The Experience Surf Camp is allowed to cancel, without refund, any surf lesson or activity during the program should there be a lack of waves, extreme/dangerous conditions or any other external factors.
Cancellation or Non-Use of Pre-Booked Transportation Services
All pre-paid transportation services, including transfers in Panama City, are non-refundable if the service is not used.
Guests who choose to make alternative arrangements do so at their own discretion and understand that the funds paid for the unused service will not be reimbursed.
Conditions
The participants' minimum age is 18 years old as a solo traveler.
The Experience Surf Camp reserves the right to make modifications, but only if these modifications do not change the essential services or due to unexpected and uncontrollable situations.
Images of your program are only used for publicity or promotional purposes as web sites, flyers, brochures,etc.
Customers must be physically fit and capable of swimming. The client confirms that from a medical point of view, there is nothing that prevents him/her from going surfing or bodyboarding. We require that you communicate any relevant medical aspects: allergies, disabilities, medical incapacities to The Experience Surf Camp before the start of your The Experience Surf Camp activities.
Each customer is responsible for the equipment provided by The Experience Surf Camp, during its use and accepts the responsibility to replace it in case of loss or serious damage by inappropriate use of it. The customer has to pay the lost or damaged equipment which automatically becomes the customer’s property.
The excursions, trips and extra activities we offer are not included in the total camp price. They depend on a minimum number of participants and availability. These reasons can lead to a cancellation of the previous.
Responsibilities
The Experience Surf Camp does not accept any responsibilities or any refunds in the following circumstances:
When the services cannot be provided, due to conditions beyond the control of The Experience Surf Camp. These are unusual and unpredictable conditions which could result in unexpected consequences such as natural disasters, political and social circumstances.
When the services cannot be provided during the program due a lack of waves.
When the client/booker is responsible for the incorrect delivery of the services.
When the client can not assist in the surf lesson during the period of time in our location.
When the defective services are due to third parties and/or they occur in an unpredictable manner.
When the incorrect delivery of the services are caused within The Experience Surf Camp’s responsibility, even though all the diligence is taken, they still could neither be predicted nor prevented.
When any event occurs before and after the program hours, The Experience Surf Camp do not hold any responsibility.
Clients have to listen to the instructions of our staff and third party local suppliers and to follow The Experience Surf Camp’s regulations. In case of not doing so and behaving irresponsibly, The Experience Surf Camp will take the necessary measures, prior notification, such as the exclusion of the surf camp.
When any related risks occur, both known or unknown to the client’s participation in this surf camp, including travel to, from and during the surf camp.
When personal property can be damaged or lost as a result of your participation in the surf camp.
When any accident that happens during the surf camp activities ends in a physical or psychological injury, pain, suffering, illness, disfigurement, temporary or permanent disability (including paralysis), economic or emotional loss, and/or death.
Services & Company Rights
The Experience Surf Camp reserves the right to change the terms and conditions, booking policy, rates and surf camp inclusions at any time without notice.
The Experience Surf Camp can ask any guest to leave the surf camp at any time if the behavior is disrupting the surf camp or other guests. A refund will not be provided.
If a guest decides to check-out prior to the final surf camp day, a refund will not be given.
The Experience Surf Camp is not responsible for guest expenses incurred in preparation for any surf camp that is canceled by The Experience Surf Camp due to "force majeure", i.e. airline tickets, insurance, etc
If your surf camp is canceled by The Experience Surf Camp with 30 or more days notice, due to safety, operational issues or "force majeure", we will email you and provide you the option for a full refund, or the option to transfer 100% of your payment to a future surf camp date, up to 2 years later.
In the unlikely event your surf camp is canceled by The Experience Surf Camp with 30 or less days notice due to "force majeure" (e.g. epidemics, pandemics, border closures, storms, catastrophes, strikes, political unrest, war, terrorism etc), you will be refunded 100% balance plus the transfer fee.
The Experience Surf Camp is not responsible for expenses incurred in preparation for any trips canceled by the guest, such as airline tickets, or for costs incurred due to travel delays, flight cancellation or illness, etc.
Local Transportation Policy
Included Transportation Services
Upon arrival: Transfer from the main island’s docking point to our accommodation.
Upon departure: Transfer from our accommodation to the main island where boats and the airport are located.
One round-trip transfer during the stay for a visit to the main island for dining purposes.
Non-Refundable Clause
The local transportation included in the package is non-refundable. Guests are encouraged to plan their activities to utilize these services.
No monetary reimbursement or alternative compensation will be provided for unused transportation services during the stay.
Terms of Usage
Transportation schedules will be coordinated to align with the camp’s operational guidelines and the guests’ arrival/departure times.
Guests who do not use the transportation for personal reasons must make alternative arrangements at their own expense.
Activities & Inclusions
If the surf conditions are not ideal for your level, the lesson/s can be re-arranged for a different day/time, or alternatively we may conduct a surf fitness class and/or surf theory lesson. The Experience Surf Camp and third local suppliers have this final decision.
If you miss a scheduled surf lesson, for whatever reason, The Experience Surf Camp is not responsible for providing you an extra lesson on a different day or time or a refund.
The Experience Surf Camp reserves the right to change surf instructors without prior notice.
The Experience Surf Camp reserves the right to change included activities if they cannot be executed due to weather conditions.
Minimum 1, maximum 12 participating surf guests per surf camp.
Insurance
For medical assistance during your stay, each client needs to have:
Medical card and insurance.
Contract of travel insurance.
Liability & Complaints
Complaints: If you wish to make a complaint or claim the program. you must report it to the relevant supplier of the problem in question and to The Experience Surf Camp’s representatives, thereby giving them the opportunity to remedy the problem.
The Experience Surf Camp cannot accept any liability whatsoever if The Experience Surf Camp is not informed immediately of any problem during the program. Complaints not resolved to the fullest should be made in writing within 7 days after your program booking end date.
Media Release Clause
The Experience Surf Camp’s Media Staff may take photographs, videos, or other recordings of the program’s activities and its participants. By participating in the surf camp or surf lesson, participants and their parents or legal guardians consent to the use of their image, likeness, or voice in any promotional materials related to The Experience Surf Camp, including but not limited to brochures, websites, social media, and advertising.
Participants and their parents or legal guardians understand that The Experience Surf Camp will not sell or license these photographs, videos, or other recordings to third parties without their consent. If participants or their parents or legal guardians revoke their consent, The Experience Surf Camp will cease using their image, likeness, or voice in future promotional materials. However, The Experience Surf Camp may continue to use the photographs, videos, or other recordings that were taken prior to the revocation of consent.
Country of Jurisdiction
By paying the services offered at The Experience Surf Camp, you automatically accept the previous terms and conditions in regards to The Experience Surf Camp’s service location.
